Community Services Scheduling Coordinator Summary The Scheduling Coordinator is responsible for handling the logistics of scheduling all rooms for Chartered Clubs, Board of Directors', Committees and Home Owners Association meetings, Workshops, Seminars, and Rentals.
Description of Duties:
- Answer phone and e-mails regarding room rentals and facility scheduling
- Maximize scheduling potential including revenue opportunities
- Maintain and update Office Tracker and master scheduling books
- Reviews all room set up forms to insure compliance with SCSCAI and City of Las Vegas fire code regulations
- Handle all social center and Starbright Theatre rentals, including obtaining current business license and insurance information for SCSCAI's Insurance Coordinator.
- Maintain records on rental contracts, licensing and permit requirements
- Obtain current insurance information from renters for Insurance Coordinator
- Daily coordination with custodial staff regarding room set-ups and or matters of concern
- Coordinate the use of the Association picnic areas and BBQ usage
- Work closely with management companies in regard to HOA guidelines for HOA meetings
- Coordinate with all Departments on events and seminars
- Handle all billing for long term rentals
- Secure payments for security deposits and room rentals
- Front office and Social Monitor support
- Update Electronic Display Boards
- Provide support for monthly special events and Starbright Theatre shows.
- Ensure delivery of excellent customer service

- Strong detail oriented abilities
- Skilled in keeping schedules current and a year plus in advance
- Type a minimum of 30 wpm
- Ability to apply safe work practices
- Skilled in proper telephone etiquette
- Excellent customer service skills
- Ability to follow oral and written instructions
- Ability to construct articles for SCSCAI Link Magazine.
- Ability to manage time, answering all e-mails and responding to customer inquiries quickly
- Proficiency in computer/internet use and Microsoft Office Suite including MS Windows, Word, Excel, Outlook, Publisher and Adobe Acrobat.
Minimum Qualifications:
- High School Diploma/GED with minimum 5 years experience in an office environment
- Valid Driver's License and transportation (with minimum state required auto insurance on personal vehicle) Ability to follow written and oral instruction.
Physical Demands and Work Environment Physical demands: Walking, sitting, bending, stooping and standing for prolonged periods. Lifting/moving up to 25 pounds regularly, and may differ in cases of emergency. Sufficient strength and stamina to ensure a productive work environment.
Work Environment: Risks and discomfort typical of indoor/social meeting hall environment with some light noise exposure.
