Summary:
The Administrative Assistant for the Executive Offices provides assistance to the Executive
Assistant and the Executive Director.
Description of Duties:
• Provide daily support to the Executive Assistant as directed.
• Answer incoming calls in a polite and professional manner and accurately taking messages.
• Ability to treat confidential information with appropriate discretion.
• Prepare minutes of meetings and help with presentations, as needed.
• Update and assemble information, as needed.
• Perform filing and general administrative tasks.
• Exceptional attention to detail.
• Time management and ability to meet deadlines.
• Strong organizational skills and ability to multitask.
• Other duties relevant to this position and as assigned by the Executive Assistant.
Essential Knowledge, Skills and Abilities:
• Ability to apply safe work practices.
• Skilled in proper telephone etiquette.
• Ability to work effectively with minimal supervision.
• Effective and courteous communication skills.
• Ability to work in a team environment.
• Ability to follow written and oral instructions.
• Proficiency in computer/internet use and Microsoft Office Suite including MS Windows,
Word, Excel, Outlook, PowerPoint.
Minimum Qualifications / Requirements:
• High school diploma required with a minimum 5 years experience in an office
environment.
• Valid Driver’s License to operate any company vehicle (and minimum state required auto
insurance on personal vehicle)
Physical Demands and Work Environment:
• Physical Demands: Walking, sitting, bending and standing for prolonged periods.
Lifting up to 35 pounds. Sufficient strength and stamina to ensure a productive work environment.
• Work Environment: Risks and discomfort typical of an office/meeting environment with
exposure to hot or cold temperatures and light noise exposure. Requires performing job functions
in compliance with all SCSCAI policies including applying all SCSCAI safety and procedures.
