Escrow Assistant

Job Summary:

The main function of the Escrow Assistant position is to act as a liaison between agents, lenders, and title during the escrow process and manages the administration tasks for the seller. To provide administrative support to the Sales staff during the Escrow Process.

Primary Responsibilities

  • Prepare lot files for every lot in all communities
  • Attend all Sales Release Meetings and assist with the preparation of the Community Disclosures
  • After sale, Review purchase agreement, disclosures and related documents to ensure all are complete and signed as required. Once signed by the seller, send ratified contract, addenda, EMD receipt, and broker registration to lender, broker and open escrow with title
  • Maintain physical lot files and electronic files to ensure that all mandatory disclosures are completed and signed by all parties
  • Update and track all escrows in Production Tracker worksheet. Use filters in worksheet to create Escrow Tracking Worksheet and send to all SBH team and title once a week.
  • Ratify contract in Mark Systems and update with sales date and estimated closing date. Confirm all color choices in House Master File (Mark Systems) are correct
  • Route and track all incentives, option requests and payments. Copy lender, broker and title on all unless purchased by the buyer outside of escrow. Scan to file and make copy for field
  • Monitor and assess the progress of the sales so that important deadlines are met. Create and mail buyer correspondence as necessary with regard to non-performance under the terms of the Purchase Agreement
  • Coordinate with Sales Associates on addendum and addendum requests. Distribute to lender, broker and title
  • Prepare Close of Escrow Worksheet for title
  • Conduct weekly Close of Escrow/Construction meetings with field, purchasing and sales. Update and distribute Escrow Calendar to SBH team
  • Prepare closing Builder Certification Package for lenders if required
  • Prepare house budget spreadsheet and complete closing Owners Statement for title
  • After escrow closes complete closeout Lot File Sections Checklist for file, update Mark Systems with phone number and COE date

REQUIRED EDUCATION

  • High school diploma
  • 1-2 year experience in escrow, homebuilding, or construction
