Phoenix Art Museum is looking for someone to join our senior staff as the Chief Financial Officer to work with the Sybil Harrington Director/CEO, to formulate and implement financial policies and procedures to ensure the achievement of organizational goals and objectives, all according to AAM best practices. Lead efforts for process improvements and performance enhancement throughout the organization. Oversee all financial functions of the Museum and serve as the assistant treasurer of the Board of Trustees.
Job Duties:
- Directly responsible for Finance and Accounting, Information Systems, Event Rental Services, Facilities Maintenance and insurance programs and risk mitigation.
- Responsible for developing the annual budget with senior staff, as well as related planning processes for monitoring and reporting to the board of trustees and its various subcommittees.
- Analyze operations to evaluate performance of the Museum and its staff in meeting objectives and to determine areas of potential cost reduction, program improvement, and policy change. Prepare benchmarking analysis and establish relevant metrics to evaluate operations and compare peer groups
- Oversee the financial activities to ensure accurate financial records, utilizing proper methods of accrual and cash accounting, and following generally accepted accounting principles as applied to the Museum.
- Present regular financial and cash flow reports to management and the Finance Committee, Executive Committee and Board of Trustees. Prepare special reports and analysis to the Director or Trustees as requested.
- Responsible for annual audits and preparation of all required tax, compliance, and regulatory filings.
- Work with the Development Division to create annual and long-term fundraising goals and grant requests that support the operating and program expenditure budgets. Assist in fundraising activities.
- Responsible for legal activities, compliance and contract review, and coordination with outside counsel.
- Access risk management activities and recommend and implement enhancements to improve safety. Mitigate risks of injury, loss or damage to Museum patrons, staff, volunteers and property. Contract for comprehensive and appropriate insurance policies
- Serve as staff representative to the Audit and Finance Committees of the Board of Trustees and Board of Directors of the Phoenix Art Museum Endowment Fund, Inc., attend meetings, and support the work of all other Board committees as required.
- Oversee Museum event rental services; insure regulatory compliance; establish and maintain competitive pricing policies; and achievement of financial goals.
- Manage all aspects of pension plans sponsored by the Museum.
- Oversee the maintenance of the building, and safety of its occupants; establish and enforce all related policies and procedures directly and through the Maintenance departments.
- Establish and maintain positive relationships with various city, state and county agencies; support the work of affiliate organizations and volunteer support groups; and act as representative to constituencies as requested or required.
- Oversee all Museum communication, software, and information systems.
- Professional development: participate in AAM, other professional associations to stay current on trends, issues, etc. for this position.
Minimum Qualifications:
- Advanced degree (preferably MBA) and a strong management and accounting background.
- Minimum of 7 years related experience in a financial executive position
- Museum management experience preferred.
Knowledge of:
- A wide range of management issues relating to non-profit organizations, and possess a distinguished record of professional accomplishments.
- Word, Excel, familiarity with mid-level accounting software packages and database applications
Skill and ability to:
- Possess excellent presentation skills, diplomacy and the ability to work effectively with a wide range of museum supporters.
- Manage, plan, and organizational administrative matters, including budgeting; strong interpersonal and written and oral communications skills; high level of problem solving skills.
- Provide effective leadership, vision and strategic direction; inspire and motivate staff and volunteers; establish and maintain effective working relationships with a wide variety of representatives of public and private organizations, members of the boards, foundations, commissions and support groups, Museum staff and the general public.
